1. About this Privacy Policy

This Privacy Policy explains how the Latvian Mycological Society processes personal data in connection with the website of the International Fungi & Fibre Symposium 2027 (the Website).

The Website primarily provides information about IFFS 2027, its programme, venue and opportunities to participate. The Website does not create user accounts and does not maintain its own database of personal data.

The only information that a user may voluntarily submit directly through the Website is an email address for receiving IFFS 2027 updates. The email address is submitted directly to the Mailchimp email communication platform.

The Website does not process registration applications, travel grant applications, contribution proposals, payment-card details or online-banking credentials. If the functionality of the Website is expanded, this Privacy Policy will be updated accordingly.

3. Personal Data We Process

When you subscribe to receive IFFS 2027 updates, the following data are processed:

  • your email address;
  • technical subscription information automatically recorded by Mailchimp, such as the subscription time, subscription status and other information required to manage consent and email delivery.

The Latvian Mycological Society does not require newsletter subscribers to provide their name, personal identification number, telephone number, home address or special-category personal data.

4. Purpose and Legal Basis of Processing

Your email address is processed in order to send information about:

  • registration for IFFS 2027;
  • the symposium programme;
  • contribution opportunities and public calls;
  • practical information concerning the symposium;
  • significant IFFS 2027 updates.

The legal basis for processing is your consent under Article 6(1)(a) of the General Data Protection Regulation.

Subscription is voluntary. Choosing not to subscribe does not restrict your ability to use the Website or access information about the symposium.

5. Withdrawal of Consent

You may withdraw your consent at any time:

  • by using the unsubscribe link included at the bottom of each newsletter email;
  • by contacting iffslatvia@gmail.com.

Withdrawal of consent does not affect the lawfulness of processing carried out before consent was withdrawn.

After you unsubscribe, your email address will no longer be used to send IFFS 2027 updates.

6. Recipients and Service Providers

Personal data may be accessed only by:

  • authorised representatives of the Latvian Mycological Society who require the information to manage IFFS 2027 communications;
  • Mailchimp, which provides subscription management, mailing-list management and email-delivery services;
  • Website hosting and technical service providers, insofar as access is necessary to ensure the secure operation of the Website.

Mailchimp is provided by The Rocket Science Group LLC, doing business as Mailchimp, which is part of the Intuit group.

The Latvian Mycological Society does not sell email addresses or disclose them to third parties for their independent marketing purposes unrelated to IFFS 2027.

7. Transfers Outside the European Union and European Economic Area

Mailchimp is an international service provider, and personal data may be processed in the United States or in other countries outside the European Union and European Economic Area.

Mailchimp states that it uses applicable international data-transfer mechanisms, including the EU–US Data Privacy Framework and, where required, the Standard Contractual Clauses approved by the European Commission.

8. Data Retention

Your email address is retained in the Mailchimp mailing list for as long as:

  • you have not withdrawn your consent;
  • IFFS 2027 updates continue to be sent;
  • the purpose for which the email address was submitted remains applicable.

After you unsubscribe, your email address will be removed from the active mailing list. Limited information concerning the opt-out may be retained to ensure that your address is not added to the mailing list again without new consent and to comply with applicable legal requirements.

When IFFS 2027 communications end, the active mailing list will be deleted or anonymised unless the subscriber has separately consented to receiving further communications from the Latvian Mycological Society.

9. Your Rights

Under applicable data-protection law, you have the right to:

  • receive information about the processing of your personal data;
  • request access to your personal data;
  • request correction of inaccurate data;
  • request erasure of your personal data where the relevant legal conditions apply;
  • request restriction of processing;
  • receive your data in a structured, commonly used and machine-readable format where the conditions for data portability apply;
  • withdraw your consent at any time;
  • object to receiving direct communications;
  • lodge a complaint with a supervisory authority.

11. Technical Data and Cookies

The Latvian Mycological Society does not use its own analytics or advertising-tracking tools on the Website and does not create profiles of Website visitors.

Website hosting and technical-infrastructure providers may automatically process limited technical information, such as an IP address, request time, browser type and server-log records, insofar as this is necessary to provide and secure the Website, resolve errors and protect it against misuse.

This technical information is not used for IFFS 2027 marketing profiling.

12. Automated Decision-Making

The Latvian Mycological Society does not use newsletter subscribers' email addresses for automated decision-making or profiling that produces legal or similarly significant effects.

14. Changes to this Privacy Policy

This Privacy Policy may be updated if the Website functionality, service providers or data-processing practices change.

The current version will always be published in this section of the Website together with the date of the most recent update.
